Teaching and Graduate Assistants (TA/GA)

Teaching Assistant (TA): A Teaching Assistant is a graduate student paid a salary to render service to the university, primarily in teaching, normally at the maximum rate of fifteen clock hours per week. 

Graduate Assistant (GA): A Graduate Assistant is a graduate student paid a salary to render service to the university, primarily in research, either directly, or under a grant or contract with other agencies, normally at the maximum rate of fifteen clock hours per week.


SAS Appointment Process

An appointment letter will be generated via the  TA/GA Appointment Portal. Once the request flows throughout each approval process, a letter will be generated via the DocuSign system. A Waiver, Family Education Rights and Privacy Act (FERPA) Form will be attached to each TA/GA offer letter.The employee will need to sign the offer letter via DocuSign. The signed forms will be available for both the department and SAS HR via the TA/GA Appointment Portal. Please note, Departments are responsible for providing each TA/GA with Departmental Criteria prior to the effective appointment date.

The new employee will need to schedule an appointment with the SAS On-boarding Team to complete the necessary new hire paperwork. If this is considered a reappointment, the department can enter the Request for Reappointment in HCM by attaching the appropriate documents.


Notification Period

In accordance with Article XII of the Agreement between the University and the AAUP-AFT, certain procedures must be observed with respect to Teaching Assistants and Graduate Assistants. Currently employed Teaching Assistants and Graduate Assistants must be notified on or before April 30, 2020 of their reappointment status for the coming academic year. Those Teaching Assistants and Graduate Assistants who are only to be appointment for the Fall semester must be notified on or before October 31, 2020 of their status for the Spring 2021 semester.

For Teaching Assistants and Graduate Assistants who will be reappointed:

  • By April 30th: Indicate the TA/GA's who will be reappointed in the drop-down menu on the Notification List within the TA/GA portal
  • The online system will generate and email the TA/GA the actual Notification of Reappointment for SAS Teaching Assistants and Graduate Assistants
  • By May 5th:enter a New Submission for each reappointed TA/GA within the TA/GA portal
  • It should be stated within the reappointment letters that reappointment is contingent upon availability of funding or the meeting of other previously established and announced criteria. 
  • A formal appointment letter and a Family Education Rights and Privacy Act (FERPA) waiver will be issued by the SAS Dean's Office after the appointments are approved

For Teaching Assistants and Graduate Assistants who will not be reappointed OR will be placed on a waiting list:

  • By April 30th: Indicate the TA/GAs who will not be reappointed OR will be placed on a waiting list in the drop-down menu on the Notification List within the TA/GA portal 
  • The online system will generate and email the TA/GA the appropriate notice (either Non-Reappointment Notice or Waiting List Notice)
  • Those students placed on a waiting list must be notified by the academic unit as soon as possible if there is a change in their status. If a student on a waiting list requests it in writing, he/she shall receive a second notification in writing on or before June 30th of the number of appointments already offered in the department for the coming year.
