Non-Aligned Staff Mid-Year Review

Non-aligned staff employees and managers/supervisors of Non-aligned staff employees:

The new performance management process focuses on the professional development of employees and encourages frequent and honest development conversations throughout the year. The performance management system is also a mechanism to align manager, department, school, and university wide goals. It is a tool that enables employees to see how their goals tie into the goals of the School and the University’s strategic vision.

We are approaching the Mid-Year Review for non-aligned employees. The Mid-Year review will allow managers and employees to discuss and re-calibrate their existing goals plans. The system will open up for this process in December and the Mid-Year Review steps must be completed by January 31st (extended until March 15, 2022). You will not be able to complete the Mid-Year Review if the employee’s goal plan has not been created in the system and approved by the Supervisor. Managers/Supervisors please check the non-aligned Performance Management system and ensure you have added all of the employees you supervise to your Team and that a Goal Plan has been created and approved for all employees. Employees, please check the non-aligned system to ensure your Supervisor has added you to their Team and you entered a Goal Plan, submitted it to you Supervisor, and your Supervisor Approved the Goal Plan. University Human Resources has updated the materials available on the Performance Management Program website to include materials related to the Mid-Year Review process.

Things to Do Prior to the Mid-Year Review

In preparation for the Mid-Year Review employees and supervisors should be updating the non-aligned performance management system with Progress Notes and/or Comments related to both the Development and Performance Goals. Progress Notes and Comments will facilitate the discussion and completion of the Mid-Year Review process.

Non-Aligned Employees: You should use the non-aligned Performance Management system to keep track of your progress and/or challenges toward achieving the goals in your Goal Plan. You may do this by adding a Comment(s) to the specific Goal by clicking on the conversation bubble graphic to the right of the Goal. Or, by creating a Progress note that can include attachments. Progress Notes can be created by clicking Progress Notes in the top Navigation bar.

Managers/Supervisors: You should also be using the non-aligned Performance Management system to track the progress and/or challenges of your employee’s goal achievement. You may do so by adding a Comment(s) to the specific Goal by clicking on the conversation bubble graphic to the right of the Goal. Or, by creating a Progress note that can include attachments. Progress Notes can be created by clicking Progress Notes in the top Navigation bar. Managers/Supervisors should enter a Mid Year Progress Note. Managers/Supervisors are also encouraged to use this time to review the Goals that were established to ensure they are still relevant and are SMART Goals. The Mid-Year Review process allows for editing, revision, removal, and addition of goals. Managers and Supervisors are strongly encouraged to use this time to ensure their employee’s goals are relevant, achievable, and SMART (Specific, Measurable, Achievable, Realistic, and Timely). The Mid-Year Review

As with the Goal Setting process the Manager/Supervisor and Employee should meet to discuss the employee’s progress toward completing their Goal Plan and to discuss any Goal updates and revisions.

After the Mid-Year discussion the employee should update the Goals per the discussion, complete the Mid-Year Attestation, and submit for Approval by “Submitting for Approval”.

The Manager/Supervisor reviews the Employee’s Goal plan and any revisions and approves the Mid-Year submission. If further adjustments are needed to the Goal plan the Manager/Supervisor may reject the Goal Plan. Once the Goal Plan is approved it will be locked until the End of Year Evaluation.
